JING Co., Ltd. ("we") handles personal information as follows in operating COLOR INN. The Japanese version of this policy prevails.
1. Information we collect
• Lead guest's name, email, phone number and country or region • Every guest's name, address and contact details; for foreign nationals without an address in Japan, nationality, passport number and a passport copy • Stay dates, number of guests, and the content of enquiries and chats • Card details are processed by our payment provider; we do not store them
2. Purposes
• Accepting, confirming, changing and cancelling bookings • Keeping the guest register required by the National Strategic Special Zones Act and Osaka City • Sending stay information and answering enquiries • Statistical analysis to improve our service (without identifying individuals)
3. Retention
The guest register and passport copies are kept for at least three years as required by law, then deleted appropriately.
4. Sharing and service providers
We do not share personal information with third parties without consent except as required by law. We may entrust handling to providers such as our payment processor, booking management system, email delivery service and AI chat provider, to the extent necessary, and supervise them appropriately.
5. AI chat
Chat messages are sent to an AI service provider to generate replies. Please do not enter passport or card numbers in the chat.
6. Security
Passport copies and similar data are kept in systems with restricted access, and all transmission is encrypted.
7. Cookies
We use cookies to remember your language and similar preferences. You can disable them in your browser, though some features may stop working.
8. Your requests
We will respond to requests to disclose, correct, stop using or delete your personal information in accordance with the law after verifying your identity. Contact us via the chat on this site or by replying to your confirmation email.
9. Changes
We may revise this policy as needed and will post changes on this page.
